This company policy includes the measures we are actively taking to mitigate the spread of coronavirus. You are kindly requested to follow all these rules diligently, to sustain a healthy and safe workplace in this unique environment. It is important that we all respond responsibly and transparently to these health precautions. We assure you that we will always treat your private health and personal data with high confidentiality and sensitivity.

This coronavirus (COVID-19) company policy is susceptible to changes with the introduction of additional governmental guidelines. If so, we will update you as soon as possible.

This coronavirus policy applies to all of our employees who physically work in our office(s). We strongly recommend to our remote working personnel to read through this action plan as well, to ensure we collectively and uniformly respond to this challenge.

General hygiene rules:

  • Wash your hands after using the toilet, before eating, and if you cough/sneeze into your hands following the 20-second hand washing rule. You can also use the sanitisers you will find on reception and in the classrooms.
  • Cough/sneeze into your sleeve, preferably into your elbow. If you use a tissue, discard it properly and clean/sanitize your hands immediately.
  • Keep windows and doors open to encourage ventilation, where possible. This can include keeping fire exits doors open where they are in classrooms.
  • Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent from getting infected.

General safety rules:

  • Observe the 2m distance rule at all times with both fellow employees and customers.
  • Where possible use back-to-back or side-to-side working (rather than face-to-face). Ensure you have at least a 2m space between the front of the classroom where you are teaching to the first seated customer.
  • Each centre has antibacterial spray and wipes to keep all surfaces and handle clean during the days. These should be wiped down at every break.
  • Avoid transmission during meetings, for example avoiding sharing pens and other objects.
  • If wearing a face covering, avoid touching your face or face covering, as you could contaminate them with germs from your hands. Wash your hands before applying the face covering and upon removing the face covering.
  • Change/wash your face covering daily. If the material is washable, wash in line with manufacturer’s instructions. If it is not washable, dispose of it carefully in your usual waste.
  • All multiple use items, e.g. crockery, mugs, drinking glasses, cutlery, etc. should be washed in the dishwasher immediately after use. DO NOT HAND WASH ITEMS IN THE SINK.
  • Screens have been fitted to reception to avoid close range face to face contact.

Before any centre is open a Covid Site Checklist will be completed by a competent member of staff to ensure that the centre is safe to operate under the recommendations set out by the government. In addition to the above the following provisions have also been put into place.

  • Classroom register to avoid signing in and out at reception. This will be used in the event of a fire drill.
  • One way systems where centres will allow.
  • Paper towels and hand dryers to be used in lieu of shared linen towels when washing hands.
  • Sanitising wipes to wipe down work equipment, vehicle controls, workstations before own use. Workstations (desks, keyboards, phones, switches, etc) to be regularly sanitised, especially if being used by more than one person.
  • Face masks, disposable gloves and visors will be provided for teaching staff in each centre.
  • We will not be providing lunches for customers and will be encouraging customers and employees to bring their own food and avoid leaving the centre at break times. Also where possible encourage food to be consumed at the desks to avoid social distancing breach in break rooms. Staff to eat/drink from own receptacles only (do not share). Ensure single use items are safely disposed in bins provided.
  • Smaller classes of teaching will enable us to manage occupancy levels to enable social distancing.
  • Where possible reducing job and location rotation to minimise the locations that staff are travelling to.
  • Reducing congestion by having more entry points to the workplace.
  • Where possible we will be staggering arrival and departure times at to reduce crowding into and out of the workplace, taking account of the impact on those with protected characteristics.
  • We have planned for the minimum number of people needed on site to operate safely and effectively. The maximum occupancy of each classroom will be assessed and the maximum number be provided to the curriculum manager and made available to recruitment team for limiting attendance at the booking stage. The trainer / assessor will be provided with this and it will be posted on the entrance to the room.
  • Hand Sanitiser provided on reception and in every classroom.

When the site has been approved to open, each designated course to run will have a Covid Course Checklist completed to ensure it is safe for that particular course to run in that centre. All staff will be provided with the Covid Safe Working Practice prior to teaching in a centre. On each day of the training the tutor will complete the Covid Teaching Checklist to ensure the premises remain safe before training takes please. All staff and customers will be asked to complete a short questionnaire to confirm that they have not been in contact with anyone or have not personally experienced any symptoms of Covid 19 in the last 14 days.

To minimise the numbers in the centre at any one time all teaching staff will receive fire warden and appointed person training in case of an emergency.

Where we have taken every possible action to maintain the safety and social distancing among staff and customers there may be an occurrence where this is not possible for example in an accident or fire, in this instance people do not have to stay 2m apart if it would be unsafe. People involved in the provision of assistance to others should pay particular attention to sanitation measures immediately afterwards including washing hands.

If a member of staff or a customer experiences any of the COVID symptoms as laid down in government guidelines please do not go to a centre. If you are already in a centre please leave immediately ensuring the tutor is aware that you are experiencing symptoms so that the necessary actions can be taken.
